BOARD STRUCTURE & ROLE RESPONSIBILITIES
Role Oversight & Delegation
Board positions are intended to provide leadership, oversight, and coordination for Foundation programs, fundraising efforts, events, and initiatives. Board members are not expected to independently execute every activity or event themselves and may recruit volunteers, establish committees, and appoint committee chairs or event leads to support planning and execution. The assigned Board member shall maintain overall oversight, communication, and accountability for activities within their area of responsibility.
Examples may include:
- A volunteer serving as Chair of the Pancake Breakfast Committee
- A volunteer lead coordinating a fundraiser or community event
- Committees supporting operational planning and execution
Board members are responsible for ensuring activities are properly organized, supported, and aligned with Foundation goals and procedures.
BOARD OFFICER POSITIONS
President
Provides overall leadership and strategic oversight of Foundation operations.
Key Responsibilities
- Lead board meetings and prepare agendas
- Provide oversight of Foundation programs, events, and initiatives
- Serve as liaison with school administration and staff
- Support board members, volunteers, and committees
- Monitor project progress and organizational goals
- Support long-term planning and board development
Vice President
Supports the President and assists with operational coordination and board follow-through.
Key Responsibilities
- Act on behalf of the President when needed
- Support coordination of Foundation activities and timelines
- Assist with volunteer and board member recruitment
- Support communication and collaboration between committees and leadership
- Attend school board meetings and coordinate with school administration
- Coordinate regularly with school administration regarding calendars, events, and organizational planning
- Help maintain communication and organizational systems
Treasurer
Oversees financial management and reporting.
Key Responsibilities
- Manage financial records, budgets, and reporting
- Track income, expenses, and fundraising performance
- Process reimbursements, deposits, and payments
- Support grant applications and funding allocations
- Support nonprofit compliance and financial transparency
Secretary
Maintains organizational records and board documentation.
Key Responsibilities
- Record and distribute meeting minutes
- Maintain organizational records and documents
- Coordinate agendas, notices, and official board communications
- Support meeting organization and procedures
BOARD DIRECTOR POSITIONS
Director of Marketing & Communications
The Director of Marketing & Communications shall be responsible for public-facing Foundation communications, branding, promotional materials, website management, and social media communication. All committees and coordinators requesting promotional support should coordinate promotional requests through the Director of Marketing & Communications.
Key Responsibilities
- Maintain website, calendars, and social media
- Create newsletters, flyers, and promotional materials
- Promote Foundation events and fundraising initiatives
- Maintain consistent branding and communication practices
Director of Major Fundraising Events
Oversees the coordination and execution of the Foundation’s major fundraising events.
Examples may include:
- Spring Fling Gala
- Pancake Breakfast
- Additional large fundraising events approved by the Board
Key Responsibilities
- Oversee planning and coordination of major fundraising events
- Recruit and support committee chairs, event leads, and volunteers
- Coordinate logistics, timelines, and operational needs
- Collaborate with Marketing & Communications regarding promotional support
- Ensure successful execution of assigned fundraising events
The Director of Major Fundraising Events may delegate operational leadership of individual events to committee chairs or volunteer leads while maintaining overall oversight and accountability.
Director of Fundraising Campaigns
Oversees fundraising campaigns, sponsorship outreach, and revenue-generating initiatives.
Examples may include:
- Drive-Thru Fundraisers
- See’s Candy Fundraisers
- Dine & Donate Programs
- Additional fundraising campaigns
Key Responsibilities
- Oversee fundraising campaigns and revenue-generating initiatives
- Recruit and support fundraising volunteers and campaign leads
- Coordinate sponsorship and donor outreach efforts
- Track fundraiser performance and profitability
- Coordinate promotional support with Marketing & Communications
The Director of Fundraising Campaigns may delegate operational management of individual campaigns to committee chairs or volunteer leads while maintaining overall oversight and accountability.
Director of School Spirit & Community Engagement
Supports school culture, student engagement, and community-building activities that are not primarily fundraising-focused.
Examples may include:
- Fall Festival
- Student and staff appreciation activities
- Spirit events
- Seasonal campus activities
- Family engagement opportunities
Key Responsibilities
- Coordinate school spirit and community engagement activities and events
- Support inclusive participation across all grade levels
- Recruit and support volunteers and committee leads
- Coordinate activity materials, decorations, and participation efforts
- Collaborate with Marketing & Communications regarding promotional support
The Director of School Spirit & Community Engagement may delegate operational leadership of specific activities or events to committee chairs or volunteer leads while maintaining overall oversight and coordination.
General Board Directors
Support Foundation operations through active participation and volunteer involvement.
Key Responsibilities
- Attend board meetings and Foundation activities
- Participate in committees and projects as assigned
- Support Foundation events and initiatives
- Assist with volunteer recruitment and community outreach
- Represent and support the Foundation’s mission within the community
LIAISON POSITIONS
Liaison positions serve in an advisory and communication capacity and do not carry operational or financial authority unless separately assigned by the Board. Liaisons may be board or general members.
Teacher Liaison (Elementary and Middle School)
Supports communication between the Foundation and teachers.
Staff Liaison
Supports communication between the Foundation and school staff.
Consortium Liaison
Supports communication and collaboration with Consortium programs and families.
Student Liaison (Elementary and Middle School)
Represents student interests, ideas, and engagement opportunities.
GENERAL MEMBERS
General Members are non-voting volunteers and supporters who wish to assist the Foundation on a flexible, as-needed basis.
Key Opportunities
- Volunteering at FEF events and activities.
- Volunteering on committees.
- Assisting with fundraising efforts and events.
- Supporting the FEF’s mission through participation and community engagement.
General Members are not required to attend board meetings or participate in every event and may volunteer according to their availability and interest.
